Business Card Guidance

This tool allows Civil Air Patrol members and NHQ staff to generate compliant business cards using approved branding elements, grade conventions, and contact information.

Before you generate

  • The Defense Media Agency and the Department of Defense Visual Information Style Guide cite military ranks receiving periods in their abbreviated form when external communication follows the industry standard of AP style. "SM" is not a grade and should not be used.
  • Use approved CAP grade abbreviations, courtesy titles, and official naming conventions.
  • Include only one duty position, unit names, and contact information appropriate to your role.
  • Keep titles, unit names, and address lines concise so the layout remains readable.
  • Review spacing, alignment, and legibility before printing or distributing.
  • Do not include professional titles or post-nominals such as "MD," "PhD," "CFI," etc.
  • Appending ',CAP' is not required if the content is clearly showing Civil Air Patrol in its capacity.

Grade & Name

Use approved CAP grade abbreviations. Do not use "SM" or add professional post-nominals.

Duty Position(s)

List duty positions and unit names exactly as you want them to appear on the card.

If you have a long duty assignment, the generator may flag this with a red outline. You may still download it, but it may not fit on the card.

Address

Use line breaks only where needed to maintain readability.

Phone Number(s)

Phone numbers are automatically formatted with periods between number groups.

Email Address

Only official Civil Air Patrol email domains are accepted.
